We have carefully reviewed the tender document, including the terms and conditions and technical specifications, and respectfully seek clarification on the following points to ensure proper understanding and compliance. Regarding the Bid Validity, the tender document mentions both 180 days and 30th June 2027; kindly confirm which one shall be considered the applicable bid validity period. Similarly, the Bid Security is mentioned as both PKR 275,000 and 3% of the total bid value; kindly confirm whether the bid security should be submitted as the fixed amount of PKR 275,000 or as 3% of the total bid value. Regarding the Photocopier, the printing speed is specified as 25/30/35 CPM; generally, 25 CPM machines come with comparatively lower specifications, particularly in terms of duty cycle and overall performance, while the specified duty cycle of 153,000 pages per month is generally associated with higher-speed machines. Therefore, we respectfully request that the requirement may kindly be revised to 30 CPM or above with a duty cycle of 145,000 pages per month or above. Furthermore, the specified simplex and duplex scanning speeds appear to be the same; however, in practical operation, duplex scanning speed is generally lower than simplex scanning speed. Kindly clarify the intended requirement and consider specifying the duplex speed accordingly. The requirement for keypad and touch screen may also kindly be reconsidered, as modern photocopiers are equipped with advanced touch-screen interfaces that include an on-screen keyboard; therefore, touch screen only may kindly be accepted where it provides the required functionality. The specification “Gradation Scale: 512 MB” may kindly be revised as grayscale/gradation is not measured in MB. For the Color Photocopier, the specified duty cycle of 107,000 pages per month may kindly be revised to 100,000 pages per month or above to allow technically equivalent machines to participate. The specified duplex scanning speed of 80 ipm may kindly be revised to 40 ipm or above, considering that duplex scanning speed is generally lower than simplex speed, while the simplex requirement of 80 ipm may remain unchanged. Finally, Bluetooth (iBeacon) is not a standard feature available across all photocopier models; therefore, we respectfully request that this requirement may kindly be removed from the mandatory specifications. We shall be grateful for your kind clarification and consideration of the above points to ensure clear interpretation of the tender requirements and participation of technically equivalent equipment from multiple manufacturers.

Ref: In the pre-bid meeting held at your good office, the following points were discussed
2: Monochrome Photocopier
The specification currently states: 2 × 520 sheets (1,140 sheets) + 100 sheets bypass with trolley. There is typo error in calculation, as 2 × 520 sheets is equal to 1,040 sheets. Furthermore, the paper grammage is not mentioned in these specifications. Our machine has an input capacity of 1,200 sheets with 64 g/m² paper. During the meeting, it was confirmed from your side that this is not a major difference. The equivalent specification discussed was: 2 × 500 sheets (approximately 1,000 sheets) + 100 sheets bypass with trolley.
This would allow equivalent machines from multiple manufacturers to participate without compromising the functional requirement.
The specification currently mentions “Gradation Scale: 512 MB.” Since grayscale is not measured in MB, it will be considered as 256 Grayscale Levels. This is a technically appropriate and generic way of specifying image gradation capability.
The requirement for “DADF” was discussed, and both DADF and RADF provide automatic duplex document feeding functionality. Both terminologies are the same in terms of the required functionality.

This simplex speed is met by our photocopier; however, the difference is in the duplex scanning speed which is minor and can be ignored.
During the pre-bid meeting for clarification regarding its requirement. Bluetooth and Wi-Fi should be made optional features rather than mandatory requirements.
